Objectives

The key objectives of the project are to build workers’ and managers’ knowledge on critical compliance topics – and to proactively prevent and mitigate risks through effective communication and reporting channels.

Key Project Deliverables

  • Needs assessment report
  • Training completed for at least 55% of workers and 90% of the HR managers and workers' representatives in each participating factory.
  • Improved knowledge of International Labour Standards, National Labour Standards and Grievance Mechanisms.
  • Participating factories have improved their grievance system so that managers are able to address workers’ complaints and workers are aware of the relevance, functioning and usage of the factories’ grievance mechanisms to effectively address their complaints.

Supplier Benefits

  • Participating suppliers will benefit from free digital training for both workers and managers on key topics such as Social Compliance, Wages, Effective Worker-Management Communication and Migrant Parenting.
  • Suppliers will also be given access to a special training platform that helps track training completion rates and changes in knowledge.
  • Participating suppliers will also benefit from establishing a multi-channel digital worker feedback mechanism, which will supplement the factory's existing grievance system to enhance workers' trust, engagement, and satisfaction, strengthen the workplace relationship, and reduce social responsibility risks.

FAQ

The program runs from April 2024 until March 2025 and is free of charge.

The baseline survey will ask a mix questions on four main topics:

  • Understanding our training audience - e.g. worker demographics
  • Grievances – understanding the present status quo and opportunities for engagement
  • Training – understanding current training and opportunities for further engagement
  • Logistics for digital roll outs - Internet connectivity and speed etc.

There will be some overlap and some divergence between the survey deployed at the start of the project (baseline) vs. what is deployed at the end (endline). Questions that we ask in our baseline to better understand our target audience and the needs related to grievance channels and digital training, along with logistical questions will only be asked once. Questions to understand the impact of the program such as changes in knowledge levels etc. may be repeated.

Grievance information generated by the project will not affect supplier compliance results or ratings. The information from this mechanism is intended to help suppliers manage risks, address potential issues early, and inform continuous improvement processes.

  • Suppliers should work with WES (worker engagement specialist) for launching the grievance platform in your factory, and WES will support you to understand the program, review all onboarding materials, and receive a manual for easy use.
  • Suppliers will deploy the program with their workers and encourage workers to participate and use the channels to provide feedback.
  • Suppliers will have access to feedback received and the grievance management process.
  • Suppliers will receive access to the Ulula analytics dashboards and grievance management module.

This mechanism is intended as a supplement, not a replacement, of existing grievance mechanisms at the workplace. It can strengthen the process as it provides an additional layer of support. It also makes clear, in the introduction, that this is separate from the supplier’s own grievance mechanism and that workers should access that channel if they wish to be in touch directly with their employer. This will enable the mechanism to explore why workers have chosen this channel over/in addition to the existing supplier channels. Any lessons learned could enable supplier management to improve their existing mechanisms as needed.

A tailored set of standards has been developed for this programme, in accordance with the client’s code of conduct and internationally recognized social responsibility standards. Based on this framework, the WES will determine the urgency and level of risk for each grievance. These determinations, in turn, dictate the actors involved and expected timeline for resolving a grievance.

Ulula collects as little personally identifiable information as possible, and that is never published or shared. This is true for both worker and client data. For cases in which engage in program stakeholders, such as GIZ and buyers, only aggregate data at a regional level is shared. Internally, users within a single company only have access to the collected data and insights, which belongs to their site or supplier. Only authorized individuals can monitor and manage the controls.
